What is AI visibility monitoring software?

AI visibility monitoring software detects whether and how a brand appears in AI assistants’ answers to customer questions, which competitors are named and which sources are cited. It records mentions, citations and share of presence relative to other brands.

For marketing teams and agencies in Italy, the object of analysis is the answer generated to a question relevant to their market. Monitoring lets you verify the brand’s presence and compare it with competitors’ presence on the same prompts, meaning the same questions sent to the assistants. To build a useful set of questions, start from the requests you receive from customers and prospective buyers: include needs, requirements and alternatives that genuinely affect the decision, not only searches that already contain the company’s name.

Visibility in AI answers, ranking in search results and website traffic measure different phenomena:

Measure What it observes Which question it answers
AI visibility Presence and description of the brand in answers, together with the cited sources Does the assistant name the brand? How does it present it?
Ranking in search results Position of a page for a given search Where does the page appear in the list of results?
Website traffic Visits actually recorded on the site How many people reach the pages?

A traditional rank tracking system does not, on its own, detect mentions in AI model answers. Likewise, a mention is not a visit: measuring visits requires traffic data. In reports for marketing or for an agency’s clients, these measures should be kept separate, even when they are viewed in the same platform.

The analysis can also involve different responsibilities within the team. Examining the domains, pages and content types referenced as sources helps clarify who should dig into the data: whoever manages the website can review the company’s pages, while whoever handles communications can examine information published by third parties. The report thus becomes a basis for assigning concrete checks.

A one-off free check does not measure changes over time, but it can help you explore the format of the results before starting an ongoing project. Use this trial to see whether the team can read the answers and reconstruct the context of each collection. Before interpreting the dashboard, you then need to clarify which metrics summarize that data and what their limits are.

Which metrics should an AI visibility platform show?

An AI visibility platform should show how often the brand appears, its share of mentions relative to competitors, the cited URLs, its position in the answer and sentiment. Each metric should have an explicit definition and let you trace back to the observed answers.

Metric Question it answers Interpretive limit
AI Visibility Index In what percentage of answers does the brand appear? Describes the monitored answers, not all answers generated by AI engines.
Share of Voice What share of competitive mentions belongs to the brand? Depends on the brands included in the denominator.
Citations with URL Which pages are referenced as sources? A cited source may be external to the brand’s website.
Position in the answer Where does the brand appear in the generated text? Does not measure ranking on Google.
Sentiment In what tone is the brand presented? The judgment requires reading the context.

The definitions of AI Visibility Index and Share of Voice used here are Refinea’s. Other vendors may use different methodologies: before comparing two reports, check that numerator, denominator and scope of observation match.

AI Visibility Index and Share of Voice: presence and competitive comparison

In Refinea, the AI Visibility Index is the number of answers that mention the brand divided by the total number of answers, multiplied by 100. Share of Voice is the number of brand mentions divided by the total mentions of brands within the competitive scope, multiplied by 100.

The denominator distinguishes the two measures: the AI Visibility Index considers answers, while Share of Voice considers brand mentions. They are not interchangeable. With the brand’s own presence unchanged, Share of Voice can shift if the mentions of the other brands included in the comparison change.

In Refinea, archived competitors are excluded from the Share of Voice denominator. Archiving a competitor can therefore change the measured share without the brand having gained any new mentions.

To interpret a trend, the report must state the period, engines queried, prompts used and competitive scope. If any of these elements changes, it needs to be made visible: a difference between percentages could stem from the composition of the monitoring.

Citations, position and sentiment: how the brand is presented

A text mention names the brand; a citation with URL references a page as a source. Owned sources belong to the brand, external ones to third parties. Position indicates where the brand appears in the answer; sentiment describes the tone in which it is presented.

To assess the contribution of company content, classify URLs by owner and function: product page, comparison, documentation or editorial article. Link each source to the claim it supports, when the link is recognizable. This shows which information the engine picks up, not only which domain it comes from.

Read position in context: a name in a list and a reasoned recommendation play different roles. Sentiment too, which distinguishes a positive, neutral or negative presentation, requires access to the original passage: a favorable assessment of one feature can come with a reservation about another. The report should preserve both. These checks become concrete criteria to use when comparing software.

How to compare software for the Italian market

To compare AI visibility monitoring software, ask for a demo on the same set of questions in Italian and on the plan you intend to buy. Assess coverage, collection method and data access, then request a quote for the same usage.

Check ChatGPT, Gemini, Perplexity and Google AI Overviews separately: engine availability may depend on add-ons. Do not assume identical coverage. Fill in the grid during each demo, noting a reference to the evidence or documentation received.

Criterion Evidence to ask for Why it matters Outcome
Engines and collection method List per plan; indication of API, user interface or other method for each environment Identify what is actually observed ___
Language and market Demonstrable configuration of Italian language and Italy market, with any localization Verify question language and geographic context separately ___
Custom questions Adding and editing your own prompt during the demo Control the questions relevant to your audience ___
Frequency Collection schedule, recorded times and handling of failed runs Know the actual cadence and any gaps ___
Original answers Full archived text, prompt, engine and collection date Verify the data extracted by the software ___
Competitor analysis Comparison on the same prompts and settings for names and variants Check competitive scope and brand recognition ___
Cited sources Browsable URLs associated with each individual answer Trace back to the pages referenced by the engine ___
History Retention period and accessibility after a plan change Plan comparisons over time ___
Exports Sample file and documentation on formats, fields, limits and any APIs Verify which data can leave the platform ___

To verify the reliability of the extracted data, the decisive test starts from the original answers.

Verify the original answers, not just the score

Check mentions and links directly on the same answer archived by the software, comparing them with what the dashboard reports. Use Italian questions shared across vendors, tied to product discovery, comparison and choice. This is a procedure proposed for the demo, not a benchmark already carried out.

Prepare questions relevant to your category, including requirements that genuinely distinguish the alternatives. Agree before the test which names and variants should be recognized as references to the brand, so they are not confused with generic terms or companies with the same name.

For each archived answer, manually search for the brand name and the agreed variants; open the links present and compare them with the list of extracted sources. Record omissions or misattributions, citing the exact passage that lets you verify them.

A discrepancy between archived text and extracted data is a possible collection error. A different answer obtained by querying the engine again, at another time or from another interface, does not on its own prove a software error. Once data quality is verified, compare the cost of the expected usage.

Compare costs and limits for the same usage

Ask each vendor for a quote for the same usage: prompts, engines, frequency, markets, users, history and exports. Have them specify add-ons and any consumption for operational activities. Collection units do not necessarily match billed units: ask how the requested monitoring translates into charges.

The quote should clarify:

  • how edits and new questions are counted;
  • which changes to engines, frequencies and markets affect the price;
  • terms for adding users;
  • access to history and exports after cancellation;
  • cost of add-ons and operational activities, if any;
  • handling of overages, failed attempts and on-demand collections.

Have the billed unit documented: configured prompt, collected answer, credit or other contractual unit. For any price, request an up-to-date official source, currency, date, taxes and subscription terms. Without documentation, note “to be verified”. When evaluating Refinea, also consider how the collected data guides the work.

How Refinea connects monitoring to action

Refinea is an AI Visibility Platform for marketing teams and agencies that connects collected data to optimization work. It measures the brand’s presence in AI answers, examines the website through the Website auditing tool and proposes Fix-this-here recommendations to act on existing content.

The AI visibility monitoring software provides the starting point for selecting which answers to examine more closely. The team can identify relevant questions where the brand is absent, descriptions to verify and sources to examine. The selection should be tied to the project’s goals: not every absence carries the same weight, nor does every one require a change to the website.

Moving from data to operational work requires distinguishing what the platform observes from what it proposes to fix.

Level What Refinea produces How to use it
Measurement AI visibility monitoring software with data on presence, position, competitors, citations and tone Select the answers that need a closer look
Site review Website auditing tool with Automated agentic workflows to examine content quality, crawl accessibility and structured data Assess the problems detected before choosing an intervention
Preparing the intervention AI content optimization software with AI-optimized articles and Fix-this-here recommendations Prepare new content or targeted changes to existing pages
Optimization AI Agents for Autonomous Optimizations Review the interventions made and coordinate them with the team’s responsibilities

The Website auditing tool lets you dig into site problems, but its outcome should be kept distinct from the measurement of answers. Observing that a brand is missing is a fact; considering a page problem as a possible explanation requires judgment. A detected issue does not automatically prove why an engine chose other sources.

The Buyer persona intelligence tool helps you understand customers’ intents and language, while the Brand memory database makes verifiable facts and statistics available to include in content. These elements support the preparation of interventions without replacing the verification of information. In the team’s process, it is worth recording separately the proposed change, the approved one and the one actually live, noting who checks content and publication.

To learn more about the measurement method, the reference is the article on Refinea Analysis and the Italian standard for AI visibility. Refinea does not control AI engine answers and does not guarantee specific results or rankings. Operationally, the first step is therefore to turn an observed absence into a narrowly scoped check, before deciding whether to create a page or work on the existing one.

From data to priorities: what to do when the brand does not appear

When the brand does not appear in AI answers, start from the uncovered questions, examine competitors and cited sources, then check whether a relevant page exists and whether it surfaces in the searches analyzed. Choose the intervention based on the problem found: a new page is an option, not the default remedy.

  1. Identify the questions and themes without presence.

Group the answers where the brand is missing by intent: searching for a solution, comparing alternatives, evaluating a specific requirement. Keep the exact prompt and the context of the collection, so you can re-examine the absence. Prioritize questions relevant to your offering and to customers’ decisions: being absent from a request unrelated to the brand’s services does not justify an intervention. For each group, phrase a precise operational question, such as “do we have a page that answers this requirement?”.

  1. Read the alternatives named and open the cited sources.

Comparing competitors on the same prompts lets you examine who appears under the observed conditions. But also read the individual answers: which features are used to recommend an alternative? Which pages support those claims? Note the requirement the source satisfies and check whether the brand can document it. Avoid turning every competitor citation into a talking point to copy: a comparison page, a product page and an editorial source can serve different needs.

  1. Check the existing page and its presence in searches.

Look on the site for a page that answers the question, then check indexing and appearance in the results of relevant queries separately. An indexed page may not surface in the searches analyzed. This finding documents an absence from those results, but does not on its own prove every cause of the absence from AI answers.

Record query, engine and date of the check. If you do not have the searches actually run by the AI engine, treat the tested queries as an exploratory check: do not attribute them to the model. Even finding the page in the results leaves open the check of the content against the question.

  1. Choose the intervention consistent with what you have verified.
Situation found Intervention to consider
No page answers a need relevant to the offering Create a dedicated page, with a purpose distinct from existing content
A relevant page exists but leaves the requirement unanswered Add the answer and verifiable information to the existing page
The page is relevant and indexed but does not surface in the queries analyzed Look into findability and relevance before deciding whether to rewrite it
The page surfaces in searches, but the brand remains absent from the AI answer Examine the selected sources and check which information supports the alternatives cited

Optimization tools can help identify questions that existing content could answer better. Use these suggestions to define narrowly scoped changes. For each intervention, record the question to cover, the URL involved, the evidence gathered and the follow-up check; assign an additional check to cases where the cause remains uncertain. Before publishing, also prepare the comparison you will use to assess subsequent collections.

How to measure results after publishing

Measure results by comparing collections before and after publication, with the same prompts, engines and competitors observed. Record the date of the intervention and keep indexing, findability, brand mentions and URL citations separate. Assess the trend across several collections before linking a change to the content edit.

Before publishing, keep a baseline collection: exact prompt text, language, market, engine queried, date and full answers with sources. Also keep the frequency of checks and the number of answers collected comparable. If you add questions or engines, analyze the new sample separately: the main comparison must continue on the original scope. For the competitive comparison, keep the same set of competitors and the same rule for calculating share of presence.

Use mentions, citations and share of voice to describe the observed trend, linking each change to the answers that make it up. In the post-publication report, place this data alongside the page checks without merging them into a single outcome:

Signal What to record at each check How to read the result
Indexing Status of the URL in the search engine checked and date of the check Documents indexing, not an AI citation
Findability Appearance of the URL in the tested queries, with engine and date Documents presence in the observed searches
Brand mention Answers that name the brand and total answers analyzed Measures the name’s presence in the sample
URL citation Answers that include the URL among sources, keeping the exact link Verifies whether the edited page itself is cited

For the edited page, distinguish new, persistent and no longer observed citations relative to the baseline collection. Also check whether the information the URL supports changes: the same page can be referenced for different passages. If other pages of the site emerge, record them separately rather than attributing their citations to the intervention. Always keep the total number of answers analyzed next to the counts, so you do not mistake a larger sample for an improvement.

In the intervention log, note the publication date, URL, change made and any other changes to the site or to communication activities. Compare several collections before and after, keeping a consistent cadence: a one-off check does not measure changes over time. Do not set a deadline by which the page should be cited.

Also read the results by individual engine and question group, so the overall figure does not hide diverging trends. An increase after publication documents a sequence in time; on its own it does not prove the content caused it. If there is no prior collection, use the first checks as the baseline for future measurements, without reconstructing a hypothetical “before”.

Try Refinea on your customers’ real questions, choosing a set of prompts relevant to your offering to track over time.

Frequently asked questions about AI visibility monitoring software

AI visibility monitoring software should let you verify which answers it analyzed, on which engines and with which questions. Declared coverage should therefore be assessed together with the data you can actually consult, before choosing the tool.

Is a regular SEO tool enough to measure AI visibility?

Only if it also tracks AI answers: ranking in search results and brand presence in generated answers are different phenomena. Some suites combine SEO and AI visibility monitoring.

Before buying, ask which answers and engines are actually monitored and which metrics are calculated. Also check whether these features are included in the plan or require an add-on, without inferring it from the “SEO tool” label alone.

Why does the brand appear on one AI engine but not on another?

Answers and sources can vary across engines, questions, usage modes and the moment of collection. A brand’s presence on one engine therefore does not imply it should appear on the others.

Review the full answers and citations engine by engine to find where the difference emerges. The brand’s absence alone does not let you attribute it to a technical problem, the content or the choice of sources.

Can software guarantee that the brand gets cited?

No, software cannot guarantee that the brand gets cited. Monitoring and optimization work help measure presence and address the problems identified, but they do not control AI engine answers or guarantee results.

Adding FAQs or structured data does not ensure citations or rankings either. Judge the software on how verifiable its data is and how useful its operational guidance is, and do not treat a promise of citation as a feature.
